About Role and Data Security Settings

FAST Finance Role and Data Security is set up by the system administrator at your site.

Role Security defines the applications, the menus and menu options within the applications that can be accessed.  Users are assigned to roles which allow them access.

Data Security defines the data that each user is allowed to view.  Fast Finance data security follows the data security protocols that are set up in your ERP by your site administrators.  Data security is sometimes referred to as Row Level security.

Banner Clients - Uses the fund code (FUND) and organization code (ORGN) to define data access.  Security follows the hierarchical structure of the FUND and ORGN, which means that a user will have access to any FUNDs or ORGNs that roll up to a FUND or ORGN that they have access to.

PeopleSoft Clients - Security is customized to the needs of each institution, but typically uses the Dept ID and Project ID to define data access. Security follows the hierarchical structure of the Dept ID  and Project ID, which means that a user will have access to any Depts or Projects that roll up to a Dept or Project that they have access to.

Data Security in public and pre-defined reports: When you are viewing reports, FAST Finance reads the security table and enforces the security for each user so they see only the specific information that they were granted access to. This includes pre-defined, public and group reports, which means that if a public report is created for a group of G/L codes, you will only see data for the subset of G/L codes within the report that you are allowed to see.   

Hierarchical G/L Codes: Data security access in FAST Finance follows the hierarchical structure of G/L Codes.  This meant that if you are granted access to a group of codes, that you will have access to any codes that roll up to that parent code.  You will not, however, have access to the G/L codes above it in the hierarchy.

Special Purpose Roles and Access to Data:  In some configurations, there are special purpose roles defined which allow access to specific types of information.  For example, a Salary Access Role would be able to view Salary data within an ORGN (or Dept ID) while other users with the same ORGN (or Dept ID) would not be able to view this data.
